Job Description

We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our Director. The successful candidate will play a crucial role in ensuring the Director’s schedule runs smoothly, managing administrative tasks, and facilitating effective communication within the organization.

Key Responsibilities:

– Manage the Director’s calendar, scheduling meetings, appointments, and travel arrangements

– Prioritize and screen incoming emails, phone calls, and correspondence for the Director

– Prepare and edit documents, presentations, and reports on behalf of the Director

– Coordinate and organize meetings, including preparing agendas, taking minutes, and following up on action items

– Act as a liaison between the Director and internal/external stakeholders, conveying messages and requests accurately and efficiently

– Conduct research, compile data, and prepare briefing materials for meetings and presentations

– Handle confidential and sensitive information with discretion and professionalism

– Assist with special projects and initiatives as assigned by the Director

– Provide general administrative support, including filing, copying, and maintaining office supplies

Qualifications:

– Bachelor’s degree preferred, or equivalent work experience

– Proven experience as a Personal Assistant or Executive Assistant, supporting senior-level executives

– Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment

– Strong communication skills, both written and verbal, with the ability to interact effectively with individuals at all levels of the organization

– Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software

– High level of discretion and confidentiality

– Ability to anticipate needs and proactively address issues

– Detail-oriented with a focus on accuracy and quality of work

– Flexibility and adaptability to changing priorities and responsibilities
